How we handle personal information.

This notice explains what information the Trace & Ledger website collects, why we use it and the choices available to you.

Overview

This notice covers the personal information collected through the Trace & Ledger website, principally through the Contact form. It is a website privacy notice, not a full account of how Trace & Ledger manages information across every part of its work.

It is written with regard to Kenya's Data Protection Act, 2019, including its requirements around transparency and the rights it gives to individuals whose personal information is processed.

Information we collect

When you use the Contact form, we collect:

  • your name
  • your organisation
  • your email address
  • the nature of your enquiry, if you choose to tell us
  • the message you send us

We do not currently collect any other personal information through this website.

How we use it

We use the information you provide to:

  • receive and respond to your enquiry
  • understand the knowledge problem or opportunity you have described
  • decide an appropriate next step, which may include a further conversation or a proposal

We do not use this information for advertising, and we do not sell or share it with third parties for their own marketing purposes.

Service providers

We use service providers to host the website and provide email services. They may process limited personal information where necessary to provide those services.

The website is hosted by Hostinger. When you submit the Contact form, your enquiry is sent from our hosting environment to Trace & Ledger's own mailbox, hello@traceandledger.com, using authenticated email delivery through Zoho, our email provider. Hostinger hosts the website and the software that handles your enquiry; Zoho carries the email itself.

Cookies and tracking

At launch, this website does not use advertising trackers, marketing pixels or third-party analytics cookies. It does not set any cookies of its own.

Your browser and our hosting provider may still record ordinary technical information as part of normal web server operation, such as request logs, in order to serve pages securely and reliably.

Retention and security

We keep enquiry information only for as long as reasonably necessary to respond to the enquiry, manage any relationship that follows from it, maintain appropriate business records, or meet applicable legal obligations.

We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse or disclosure. No method of online transmission or storage can be guaranteed completely secure.

Your rights

Depending on the circumstances and applicable law, you may have rights to ask what personal information we hold about you, request that we correct it, object to certain processing, or ask for it to be deleted.

To exercise any of these rights, contact us using the details below. If you believe your personal information has not been handled appropriately, you may also raise the matter with Kenya's Office of the Data Protection Commissioner.

Children

The website is intended for professional and institutional enquiries and is not designed to collect personal information from children.
